Who we are
This website, safetrack.software, is operated by SafeTrack Software LLC ("SafeTrack", "we", "us"), located in Reno, NV, United States. This policy explains how we handle information collected through this website.
This policy covers the marketing website only. AcademyTrack, our product, is provided to agencies under a separate written agreement, and information processed inside that application is governed by that agreement rather than this page.
What we collect
Information you give us
When you submit the contact form, we collect the name, email address, agency or organization name, optional phone number, and message content that you enter. We ask for this because we cannot respond to an enquiry without it.
Information collected automatically
Our hosting provider records standard server logs for each request, which may include your IP address, browser user-agent, the page requested, and a timestamp. These logs exist to operate and secure the site.
We do not run advertising trackers, third-party analytics, social media pixels, or cross-site profiling of any kind on this website.
Anti-spam verification
The contact form is protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than an automated script. To perform that check, Cloudflare receives a verification token and your IP address. Turnstile is designed to work without tracking users across sites.
How we use it
We use the information described above only to:
- respond to your enquiry and continue that conversation;
- send you an automatic confirmation that your message was received;
- operate, secure, debug, and improve this website;
- detect and block spam and abuse; and
- comply with legal obligations that apply to us.
We do not sell or rent your personal information, and we do not share it for cross-context behavioural advertising. We do not add you to a marketing mailing list on the basis of a contact form submission.
Legal bases
If you are in the United Kingdom or the European Economic Area, we rely on the following legal bases under the UK GDPR and EU GDPR:
- Legitimate interests — responding to enquiries you send us, keeping the website secure, and preventing abuse.
- Legal obligation — where we must retain or disclose information to comply with applicable law.
Cookies
This site uses the minimum cookies required to function. We do not use advertising or analytics cookies, and there is nothing here to opt into.
- Session cookie — an encrypted cookie that lets the contact form work correctly across a page load and carries no personal information itself.
- Security token — a cross-site request forgery token that prevents the form being submitted from another site on your behalf.
- Cloudflare Turnstile — may set a short-lived token in connection with the anti-spam check on the contact page.
Service providers
We use a small number of third parties to run this site. Each receives only what it needs to perform its function, and none is permitted to use your information for its own marketing:
- Laravel Cloud — website hosting and server logs.
- Postmark — delivery of the contact notification and your confirmation email.
- Cloudflare — anti-spam verification on the contact form.
We may also disclose information where required by law, to enforce our Terms of Service, or to protect the rights, safety, or property of SafeTrack or others.
Retention
We keep contact form correspondence for as long as needed to handle your enquiry and to maintain a record of our business relationship, then delete or anonymise it. Server logs are retained on a short rolling window by our hosting provider. If you ask us to delete your enquiry sooner, we will, unless we are required to keep it.
Your rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, correction of inaccurate information, deletion, a portable copy, or restriction of certain processing. You may also object to processing that is based on our legitimate interests.
We will not discriminate against you for exercising any of these rights. To make a request, use the contact form and tell us what you would like us to do. We may need to verify your identity before acting, which usually means confirming you control the email address involved.
If you are in the UK or EEA and believe we have handled your information improperly, you also have the right to complain to your local supervisory authority.
Nevada residents
Nevada law (NRS Chapter 603A) gives Nevada residents the right to direct a website operator not to sell certain personal information. We do not sell personal information as that term is defined under Nevada law, and we have no plans to. If you would like to submit a verified request regardless, contact us through the contact form.
Security
This site is served over HTTPS, form submissions are validated and protected against cross-site request forgery, and session data is encrypted. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security, but we take reasonable and appropriate measures to protect what you send us.
Please do not send sensitive personal information — recruit records, medical information, or personnel files — through this website's contact form. It is not the appropriate channel for that, and we will ask you to use a secure one instead.
Children's privacy
This website is intended for public safety professionals and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy as our practices or the law change. The revision date at the top of this page always reflects the current version. Material changes will be reflected here before they take effect, so it is worth checking back if this matters to you.
